HubSpot CRM setup
Organize contact and company records, deal stages and task ownership around how your team works.
Setting it up or fixing a broken handoff? Tell us what needs to work, and we can scope the records, routing, reports and follow-up around it.
We’ll define the architecture, delivery owner and review points in the proposal before work begins.

Start with the handoff your team needs. We agree which parts to build before work begins.
Organize contact and company records, deal stages and task ownership around how your team works.
Scope templates and follow-up sequences around the information a lead needs next.
Define which signals matter and who should receive each inquiry.
Build reports around the questions your team actually needs answered.
Map repeatable handoffs, notifications and record updates before automating them.
Ask for the information the next person needs to respond well.
We map the current or planned path, the records it needs and the decision your team wants to make. Then we agree scope, owners and milestones.
We configure only the records, routing, forms, reports or workflows named in the proposal. If data must move from another system, we first agree its sources, permissions, mapping and checks.
We review the agreed paths with the named owner. The proposal states what documentation, training and handoff are included.
If you are hiring someone to develop business, start by describing what they should do with a real account or opportunity. Give them a place to find the history, a next action, a date, a responsible person and a way to handle an exception.
Then decide which parts your existing tools can support and whether one specific task deserves an AI test.
A list of target customers and suggested automations does not yet describe how an employee will operate. Draw one path:
Account or inquiry → conversation → next action → proposal or estimating handoff → follow-up → recorded outcome.
At every step, answer: what information arrives, what the employee does, where the result is recorded, who receives it and what happens if the usual path fails.
For a services business, include both existing relationships and new pursuits. The information needed to develop an existing account may differ from the information needed to qualify a new inquiry.
Here is a fictional illustration, not a client result:

| Field | Example |
|---|---|
| Account / situation | An existing customer is considering another location |
| Source and history | Conversation notes and the customer's permitted brief |
| Next action | Ask for the project details the estimating team needs |
| Responsible person and date | The assigned business-development employee; agreed follow-up date |
| Receiving person | Named estimating contact |
| Completion check | Estimator confirms the information is sufficient or identifies what is missing |
| Exception | If timing or scope is unclear, record the question and return it to the responsible person |
Try the card with someone who will do the job. Let them show you what is missing. Record the time and assistance needed; do not assume the process is usable because the plan reads well.
Choose one question the buyer needs answered before the next conversation. Produce a page or document that explains it, shows supported evidence and makes the next step understandable.
For example, a buyer comparing providers may need to know what stays in their existing system, what changes and what their team must contribute. Sales should be able to find that answer and use it in the relevant conversation. The website's inquiry path should preserve the context the receiving person actually needs.
Once the path is clear, compare a shared work card, configuration in the existing CRM and features already available in the tools. Specify the required access and the information that needs to be retained. Define who maintains the routine after handover.
If you commission help, agree what will be delivered, what your team contributes, which training and support are included or excluded, and how the finished work will be checked. Software, implementation and ongoing support should be understandable as separate costs.
Pick a bounded task: for example, preparing a draft summary from permitted notes for a person to review. Define what a correct result includes, what the system should do with missing information and who accepts it.
Compare the proposed method with the current human routine or features in the existing tools. Count preparation, review, correction, exceptions and upkeep. Keep the person responsible for a decision or customer-facing action explicit. Our separate practice, br8n, handles custom AI work; any assessment or implementation needs its own scope.
If the routine already works, begin with one repeated task inside it. That is a different starting point from building the routine itself.
Your first useful output: one work card tried by the intended employee, with any unresolved handoff recorded.

The Two Fish work included guided prospect enrollment across nine service paths, HubSpot handoff code and team training.

We may scope CRM setup, email follow-up, lead routing, reporting, workflows and forms or landing pages. Your proposal names the parts, integrations, inputs and handoff responsibilities for your project.
We can review what is already configured, identify the handoff that needs attention and scope a repair. A full rebuild is not assumed.
Only when it is needed and agreed. We review the data sources, permissions, mapping and checks before including a migration in the proposal.
The proposal states what documentation or training is included and who owns the setup after handoff. Those parts depend on the project.
Timing depends on the agreed scope, data preparation, integrations and your team’s availability. We agree milestones and a target handoff date before work begins.
We price the agreed scope after reviewing your process, data, integrations and handoff needs. The proposal identifies implementation work, software costs and any ongoing support separately.
